Fulfillment Station

The fulfillment station is the operational view for warehouse and store staff doing pick, pack, and dispatch work. Each order that needs fulfilling spawns a Fulfillment with tasks corresponding to the pipeline stages. Staff work through tasks in sequence; some stages require a photo or weight entry before they can be marked done.

Fulfillment Statuses

StatusMeaning
PendingFulfillment created, waiting to start
In ProgressAt least one pipeline task is active
ReadyAll tasks done, waiting for customer handover or courier pickup
Handed OverTransferred to a hub or courier (multi-hub routes)
DeliveredOrder delivered to the end customer
FailedFulfillment failed (courier refused, item missing, etc.)
CancelledOrder was cancelled before fulfillment was completed

Task Statuses

Each pipeline stage creates one FulfillmentTask. Tasks run in stage order and cannot be skipped unless the stage allows it.

StatusMeaning
QueuedStage not yet reached — waiting for the previous task to complete
In ProgressStaff has started working on this stage
DoneStage completed successfully
FailedStage could not be completed — a note is required
SkippedStage was explicitly skipped by a supervisor

Working Through a Fulfillment

  1. Open the Fulfillment from the fulfillment queue or from the order detail.
  2. The first queued task is highlighted. Click Start Task to begin. The task moves to In Progress and the started_at timestamp is recorded.
  3. Complete the work for this stage (picking items, packing, etc.).
  4. If the stage requires a photo, upload one or more photos before marking done. The photo is attached to the task record.
  5. If the stage requires a weight entry (pick_and_weigh type), enter the actual quantity weighed before marking done. This updates the order item's actual_quantity field.
  6. Click Complete Task (optionally add a note). The next task in the pipeline activates.
  7. When the terminal stage is completed, the fulfillment moves to Ready or Delivered depending on the pipeline configuration.

Assigning Tasks

Tasks are assigned to team members within the team allocated to that pipeline stage. Assignment can be automatic (round-robin or least-busy within the team) or manual.

  • Auto-assign: when a task becomes active, Socialone assigns it to the next available team member based on the team's assignment strategy.
  • Manual assign: supervisors can reassign any in-progress or queued task to a specific team member using Assign Task.
  • Only team members in the stage's team can be assigned to that task. Fulfillment staff see only their own tasks in the staff task view.

Pick & Weigh

The pick_and_weigh stage type is for bulk or commodity products sold by weight (kg, litres). After picking, staff enter the actual quantity weighed on the scale.

  • When completing a pick_and_weigh task, a weight entry dialog opens for each item in the fulfillment.
  • The entered quantity is saved as actual_quantity on the order item. This is the quantity used for invoicing and analytics when it differs from the ordered quantity.
  • Socialone recalculates the item total using the actual quantity and updates the order total accordingly.

Photo Evidence

Stages with Requires Photo enabled block completion until at least one photo is uploaded. Photos are stored against the task and are visible in the fulfillment audit view.

  1. When working on a photo-required task, tap Upload Photo.
  2. Use the device camera or file picker to select an image. The upload is pre-signed — the image goes directly to storage from the device.
  3. Once at least one photo is uploaded, the Complete Task button becomes active.

Packing Slip

A packing slip is a warehouse document listing items and quantities without prices. Download it from the fulfillment to give to the packing team.

  • Open the fulfillment and click Packing Slip. A PDF is generated and downloaded.
  • The packing slip includes: order number, customer name, fulfillment location, items with SKUs and quantities, and any per-item instructions from the customer.
  • For weight items, the ordered quantity is shown as the packing target. The actual_quantity is printed after pick_and_weigh is complete.

Shipping Label

A shipping label is generated for courier-dispatched orders. It includes the sender (fulfillment location), recipient (shipping address), and courier AWB (airway bill) details.

  • Open the fulfillment and click Shipping Label. Available once a courier is assigned or a tracking number is set.
  • The label is sized for standard A6 courier labels (10 × 15 cm). Print it and affix to the outer package.
  • The tracking number on the label is also stored on the order and shown to the customer in the Shipped notification.

Pickup Code

For customer pickup orders, a short alphanumeric pickup code is generated and sent to the customer when the fulfillment reaches the Ready for Handover stage.

  • The staff member at the pickup counter scans or enters the customer's pickup code to verify the order before handing it over.
  • Use Verify Pickup Code in the fulfillment station to validate the code and complete the handover.
  • If a customer loses their pickup code, use Regenerate Pickup Code from the order to issue a new one and re-send it.

Retrying a Failed Task

If a task fails (item out of stock, equipment issue), it can be retried once the problem is resolved. Click Retry Task to reset it from Failed to In Progress. Add a note explaining why it failed and how the issue was resolved.

Common Blockers

  • Staff can't see their tasks: the staff member must be in the team assigned to that pipeline stage. Check the pipeline stage's team assignment in Fulfillment Pipelines.
  • Complete Task button disabled: the stage requires a photo or weight entry that has not been submitted. Upload the required photo or enter the actual weight to unblock.
  • Packing slip missing items: packing slips include only items in that fulfillment. For split fulfillments, each fulfillment has its own slip.
  • Pickup code not sent: the location must have Pickup Point enabled and the fulfillment must reach the Ready for Handover stage before the code is sent.
